Benefit Tracker: Cost Savings Tracking Software for Manufacturing

The true value of a manufacturing software investment is measured after go-live. Benefit Tracker sets the baseline before anything changes, tracks the KPIs that actually move, and produces a verified number your finance team will sign off on.

15-30%

downtime reduction

On critical production lines, measured against a pre-implementation baseline captured before anything was changed.

20%

less material waste

Up to a fifth of material waste removed once scrap is attributed to the process conditions that actually caused it.

25%

faster order fulfilment

Fulfilment rates after execution and scheduling were moved onto live production data instead of end-of-shift estimates.

100%

of benefits carry a baseline

Every tracked benefit has a baseline, an owner, a verification method and a review date – or it does not count as a benefit.

Was ist der Benefit Tracker?

Benefit Tracker is the use of software systems and a strategic framework designed to measure, verify and scale the value of operational and manufacturing improvements. Put plainly: it turns “the new system seems to be working” into a number that survives contact with the CFO.

Improvement benefits evaporate for three predictable reasons, and none of them is that the improvement failed. There was no baseline, so before and after cannot be compared. There was no owner, so nobody noticed when the gain decayed. And there was no verification method agreed in advance, so operations and finance ended up quoting different numbers at each other.

Benefit Tracker closes all three. The software half reads KPIs straight from live production – downtime, waste, fulfilment, utilisation – so the measurement is not up for debate. The framework half runs the baseline setting, the monthly and quarterly reviews, and the Centre of Excellence that keeps the gain from decaying once the project team has moved on.

A dashboard that works your way

Shape your workspace around the way your team works. Add the modules you need and keep the most important information within reach.

Track benefits, KPIs, projects, and actions from one clear interface. Move from insight to action without losing context.

Why improvement benefits evaporate - and what stops it

Most plants can name three improvements delivered last year and cannot tell you what any of them were worth. Not because the improvements did not work, but because nobody wrote down what “before” looked like, and by the time anyone asked, the baseline was gone.

Benefit tracking is mostly an accounting discipline wrapped around a measurement system. Get the baseline and the verification method agreed up front and the argument disappears – which is also what makes the next investment easy to approve.

Without benefit tracking:

With Benefit Tracker:

Wie es funktioniert

Four steps, in this order. The first one is the one everybody skips, and it is the one the other three depend on – because a benefit you cannot baseline is an opinion, however good the dashboard looks afterwards.

01

Data collection & baseline setting

Pre-implementation performance captured from the machines themselves – downtime, speed loss, scrap, changeover and fulfilment – so the “before” is a record rather than a recollection. This is the step that decides whether anything later can be proven.

02

KPI tracking & dashboards

Real-time visibility on the metrics the business case rested on, calculated the same way every day. Downtime, waste and fulfilment are tracked continuously rather than reconstructed at month end.

03

Regular benefit reviews & reports

Monthly and quarterly audits against the baseline, with the delta attributed, the owner named and the result signed off. Decay is caught while it is still a trend rather than a surprise.

04

Continuous improvement roadmap

What the verified numbers say to do next – the ranked, costed list that turns a finished project into a programme and points at the Centre of Excellence target state.

What actually gets measured

Benefits are only credible if the measurement existed before the argument did. Every figure below comes from the production system rather than from a spreadsheet someone maintains.

Equipment: availability, performance, quality

OEE and its three components per line, shift, product and crew, with microstops and speed loss separated from breakdowns. The OEE platform supplies the numbers; Benefit Tracker holds them against the baseline.

Materials, energy and labour

Scrap and rework attributed to the process conditions present at the time, energy consumption correlated with actual output, and the manual reporting hours removed by automation – the savings most often left uncounted.

Flow: fulfilment, lead time and WIP

Order fulfilment rate, schedule adherence, changeover duration per product pair and work-in-progress. The metrics that decide whether a capacity gain reaches the customer or stops at the warehouse.

How a benefit is classified and verified

Not every gain is a cash saving, and pretending otherwise is how benefit tracking loses credibility with finance. Classifying each benefit honestly at the point it is logged is what keeps the whole ledger trusted.

Hard savings

Direct cost reduction – material, energy, scrap, overtime and external service spend that measurably falls and shows up in the accounts.

Verified against the baseline – calculated with the method agreed before the project started, not chosen afterwards to suit the result.

Signed off by finance – the only category that should ever be presented as a P&L impact.

Cost avoidance & capacity

Recovered capacity – hours returned by removing downtime and microstops, valued at contribution margin only where the demand exists to fill them.

Investment deferred – the line, shift or machine you did not have to buy because the existing asset now runs closer to its rated speed.

Labelled honestly – real and reportable, but never mixed into the hard-savings number.

Non-financial benefits

Compliance and traceability – audit evidence produced as a by-product of production, and containment actions bounded in hours rather than weeks.

Quality and safety – first-pass yield, deviation counts and the reduction in manual transcription that causes most record errors.

People – less time spent reconstructing what happened, more spent removing the reason it happened.

Centre of Excellence support

Software measures the benefit. People are what stop it decaying. The Centre of Excellence is the part of Benefit Tracker that moves ownership of the standard from us to you – which is the only version of this that survives a change of plant manager.

Improvement workshops

Run with your maintenance, production and QA teams against the ranked loss list rather than against a generic agenda – so the workshop output is a costed action with an owner, not a flipchart.

Benchmarking that means something

Your lines against each other, your sites against each other, and against comparable plants we run elsewhere. The gap between your best shift and your average shift is usually the cheapest capacity you own.

Coaching and KPI ownership

Your team trained to read, challenge and defend the numbers themselves, plus ongoing framework updates as the scope grows – so the review keeps happening after we stop attending it.

What feeds the numbers

Benefit Tracker does not collect data of its own. It sits on top of the modules already running your plant, which is why the figures reconcile with what the shop floor sees rather than contradicting it.

OEE und Mikrostopps

Availability, performance and quality from machine signals, with short stops detected automatically – the source of most downtime benefits.

MES-Ausführung

Order progress, material validation, traceability and confirmed production, giving fulfilment and schedule-adherence benefits their evidence.

Maintenance (CMMS)

Failure frequency, response and repair times and planned-versus-reactive ratio – where reliability gains become visible.

Energy (EMS)

Consumption correlated with real output, so energy savings are expressed per unit produced rather than as a flat monthly total.

Quality (QMS)

Scrap, rework, deviations and first-pass yield attributed to the conditions that caused them, not just counted.

Paperless documentation

Manual reporting and documentation hours removed – the savings almost every business case forgets to claim.

Benefit tracking in manufacturing, explained
